OpenText Watch posted an update
OpenText says AI assistants can make long-forgotten company files easier to find, including sensitive documents buried in places staff rarely check. A file may be technically accessible to a user but overlooked for years; an AI assistant can bring it into an answer in seconds.
Why it mattersThe company argues that organisations should find and classify this “shadow data”, review access and remove redundant or obsolete copies under their retention policies. It cites IBM’s breach reports and a Queensland Museum discovery exercise as examples of the risks and scale involved. This is a distinct, practical angle on OpenText’s earlier advice to govern the data people put into AI tools. The unsettling bit is that the forgotten spreadsheet need not be uploaded anywhere to become relevant: broad permissions may already give an assistant a route to it.
Discuss: Should organisations prioritise restricting what AI assistants can access, or cleaning up and tightening permissions on the data they already hold?
